After a tree has been nominated as a potential Champion or Historic tree, a Texas Tree Trail Representative makes an appointment with the tree owner or tree owner's agent for the purpose of gathering tree data. The tree owner or owner's agent reviews the Site Form and then selects the degree of privacy desired and signs the Site Form. The Site Form goes back with all measurement data and photographs to the Regional State Forester for review.

Choices/Options for Privacy Selection on the Site Form

Owner's Name Note: The owner's name is never published anywhere on any public document or on the web. If you want your name stricken completely from any internal document and our database, opt out here.

Note: The information in the light red cells are never published for those trees listed as private.

Owner's Address If your address is different from the tree address or you wish to remain anonymous relative to owner info, opt out here.
Owner's Telephone Number This includes fax. We do need to get in touch with you so we need either a phone or email address. We need one or the other please. If opted out here, then choose email address to opt in. No owner information is ever published.
Owner's E-mail Address See the telephone number opting instructions.

Tree Location This has 3 subcategories :
  1. Tree Address; opting out here removes this address from being published. We must have this address for our database and internal use.
  2. GIS Data, Latitude and Longitude; we need these data to produce the virtual tour, but they can be kept private. We must have this data for our database and internal use.
  3. GIS data in photographs. By opting out here the GIS feature can be turned off on the camera or we can remove these meta-data from the photos.
Specific Photographs - Details: This category is by agreement. For example, the owner may not want specific photos of the tree with their home, or locale. Do not include any of the owner's family members in photos without permission and without getting a signed photographer's/model's release.

We must have photos of the tree however. This is a requirement. Without these, the tree is removed from the database

Tree Measurement and Botanical Data There is no opting out here. If this is disallowed, the tree is removed from the database.

Yes and No Questions

Y/N

I will consider public access to the tree(s) during designated times and as stipulated in the following instructions:

This is also by agreement. I've rarely seen this exercised. Depending on the tree and location, some folks opt for walking tours to view historic and champion trees. This is typically for enthusiasts and naturalists.
Y/N I would consider allowing a formal guided tour for the public, at pre-determined times that I agree are acceptable. This would be a tour of a more organized variety probably for Master Gardeners or Naturalists with a keen interest in trees of our region.
Y/N I would consider participation in special events. Such as Arbor Day festivities, eco-tourism, etc.
